Recording contributions and loans via AI Scan

Scan your physical record book instead of typing figures manually — the app reads it and extracts names and amounts for you.

What is AI Scan?

AI Scan lets a Secretary record contributions by scanning their record book instead of typing figures in one by one.

The app reads the scanned document and extracts names and amounts automatically.

Why it helps: fewer data-entry errors, and it's much faster for Secretaries recording contributions for an entire group in one sitting.

Before you start

  • AI Scan currently supports images only. The image needs to be clear — something you could read yourself, not blurry.
  • Permissions needed: allow camera and gallery access when prompted.
  • Get your books in order — contributions, loans, fines, and any other records you plan to scan.
Scanning a book

Scanning a book — step by step

  1. In the Activity page, first select the week or month you'd like to record in.
  2. Tap the AI icon.
  3. Tap Book 1 to begin setting it up.
  4. Select the fields present in your physical book — for example, if the book only records shares, tap on shares amount.
  5. For groups that use separate books (e.g. loans written in a different book from savings), tap Book 2 and select issued loan, paid loan, and loan penalty.
  6. Tap Add a page to take a photo or choose one from your gallery.
  7. Crop your image, then tap Crop when done.
  8. For books with more than one page, tap the + button next to the existing image to add another page.
  9. Once all books are set up, tap Scan Books at the bottom.
  10. Wait for the app to read the pages.
  11. Review the extracted names and records — the app reads each name and figure aloud so you have time to cross-check.
  12. For any mistakes you spot, tap Edit on the card, make your changes, then save and continue reviewing.
  13. Confirm the summary totals and make sure all members are recorded.
  14. If everything looks right, tap Approve and Submit.
  15. Wait for the app to write the records into your Activity page — don't close the app or lose internet connection at this stage. A good connection helps it run faster.
The recording process, once submitted, takes about 40 seconds for a group of around 20 members.
Tip: for groups whose books identify members by numbers (1, 2, 3…) instead of names, turn on the "members identified by numbers" option, and also provide a picture of the actual names matched to their numbers — e.g. "1. Emily, 2. Caroline." Names must match your Members list exactly. If your book is already written with each person's name and contribution, leave this option off.
If it gets it wrong

If the scan gets it wrong

  • For any mistakes you spot, tap Edit on the card, make the necessary changes, then save and continue with the review.
  • Changes can also be made manually after submitting, but we recommend fixing them during the review step instead.
  • If a scan fails, check your internet connection, or toggle airplane mode on and off, then retry the scan. Also confirm you've allowed camera and gallery access.
  • If the scan extracts fewer members than your group actually has, it's likely a mismatch between the names in the book and your Members page. It's fine to check who's missing, save what was captured, then add the rest manually.
  • If the numbers are off beyond what you can correct individually, contact support with your feedback so we can improve it for your group — in the meantime, you can always fall back to manual recording.

Finding scanned records

Where to find what was recorded

Scanned records show up in the Activity page the same as manual records.

To identify what was scanned, look for the green AI SCANNED label below the member's name.

AI Scan always saves your progress — if you quit before submitting, it will ask whether you'd like to resume your scan or start afresh.

Tip: to reduce errors, especially around penalties, leave penalties off while scanning, then add them manually during your review. Penalties are rare and easy to fix per member, so it's simpler to handle them by hand.
